Job Description Summary

The program coordinator supports the design and delivery of campus and corporate programs. The coordinator will work closely with the CWB’s Program Directors to ensure that programs reflect the latest DEI trends, align with the CWB’s mission and that each deliverable is of high quality and meets or exceeds learner expectations. The coordinator collaborates with the CWB team to ensure success of CWB programs both on campus and with external partners.

Essential Duties

  • Provide administrative support to CWB leadership team (Executive Director and two Directors), including handling routine communication, calendar management, and submitting expense reports and business travel assistance.

  • Help CWB leadership team with time optimization, meeting pre-work and follow-up, and tracking progress toward strategic priorities.

  • Represent and support relationship-building efforts for campus and external partners. This includes focusing on high-quality professional communication and responsiveness to build and strengthen relationships and maximize future collaborations.

  • Organize and maintain CWB document sharing and storage systems, coordinating with CWB team members, Bentley legal and procurement, including for confidential documents such as contracts and agreements.

  • Maintain CWB’s events calendar and related databases.

  • Research support for curriculum development and other events requiring content presentation.

  • Maintains CWB content and upkeeps the content by reviewing relevant media and academic papers and alerting CWB of new trends and updated data.

  • Support social media execution for LinkedIn, Instagram and other social channels.

  • Support campus initiatives and student programs in the execution and delivery of logistical coordination of internal and external events such as room reservations, coordinating the arrangement of food and room setup, supplying materials; program attendance tracking, survey creation, registration, and data management; coordination of calendar and events; and program follow-ups in the form of debrief sessions and thank you notes.

  • Manage front desk operations and general office duties including facilities, and supplies.

  • Maintain reception area and ensure that all office items and supplies are appropriately stocked.

  • Completes special project payments, contract facilitator payments, and faculty honorariums, send out invoices to clients using workday finance.

  • Performs other related duties as assigned.

Minimum Qualifications

  • Bachelor’s degree with one year of experience OR High School Diploma or GED with five years of experience in a related field.

  • Established computer/technical skills including, but not limited to proficiency in Microsoft Office products (PowerPoint, Word, Excel, and Outlook) and Zoom.

  • Alignment with CWB/Bentley values and interests, especially regarding promoting gender equity, leadership, diversity, equity, inclusion, and justice.

  • The ideal candidate is detail-oriented, organized, a direct communicator, and has a passion for teamwork.

  • Self-starter who can take the initiative, wants to learn new skills, and keeps track of multiple projects.

  • Interpersonal skills, including written and verbal communication.

  • Occasional early morning, evening, and weekend work due to the program schedule.

  • Experience working in Canva, Drupal, HubSpot , Workday, CVENT is desired, but not a must.

Work Environment

  • Typical office setting with extensive sitting and computer work

  • Ability to travel to internal campus and external events, travel may occur outside of regular business hours

  • Occasional early morning or evening work due to special events
